About the Role
As an Administration Assistant, you will play an important role in ensuring the smooth day-to-day operations of the office. This is an office-based role with occasional interstate travel to support meetings, events, or projects. You will provide support across scheduling, communications, event coordination, and general administration while acting as a key point of contact for staff, clients, and external stakeholders. This role is varied and hands-on, with the opportunity to be involved in projects, research, and executive-level support.
Key Responsibilities
- Manage and organise calendars, book appointments, set reminders, and resolve scheduling conflicts.
- Coordinate domestic and interstate travel including flights, accommodation, and itineraries.
- Answer phones, greet visitors, manage emails, correspondence, and incoming mail.
- Organise meetings: prepare agendas, book rooms, take minutes, and follow up on action items.
- Draft letters, reports, and presentations; collate data into Word, Excel, and PowerPoint.
- Assist with expense reporting, invoicing, and ordering office supplies.
- Organise corporate events such as Christmas parties, workshops, client entertaining, and team lunches.
- Liaise with suppliers, contractors, and interstate staff, ensuring smooth logistics.
- Host and assist visitors from interstate or overseas, providing professional support and hospitality.
- Maintain confidentiality of company, employee, and client information.
- Assist with special projects including market research, feasibility studies, and internal reporting.
- File, scan, photocopy, and maintain accurate records across both digital and hardcopy systems.
- Support HR and management with administrative tasks as required.
Skills & Experience
- Previous experience in administration or office support (desirable).
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong communication and interpersonal skills.
- Excellent organisational and time management ability.
- High attention to detail and accuracy.
- Professional presentation and a proactive, can-do attitude.
